Vendor · the record a purchasing team opens

Vendor of socks

A vendor is what a supplier becomes once someone has to open a record for it. That record has fields, and this page fills them in the order they usually get asked: who the entity is, what it holds, where it is, what it signs, and what it will not claim.

Nothing here is a sales argument. It is the same information a procurement team assembles by email over two weeks, written down once so the first round trip is about a specification instead of a form.

The five fields, and who fills them

What a vendor record is made of

Three of the five fields are things we publish. Two are things only you can decide. Keeping them apart is what makes a vendor record useful rather than decorative.

Published

Legal entity and audit numbers

QS Knitting Co.,Ltd contracts and exports; Zhuji Qingsheng Knitting Co.,Ltd runs the floor; BSCI 26-0419962 and SEDEX ZAA600215648 name it as holder. Both entity names are on the proforma invoice.

Published

Site address and floor

No. 79 Jiangbei Road, Datang Sub-district, Zhuji City, Zhejiang Province, China — the same address on the packing list and on both audit documents.

Your call

What the record is for

A first order, a second source, or a range replacement. The same vendor record supports all three, but the specification you attach to it decides which of them the enquiry becomes.

Field by field

Eight fields a sock vendor record asks for

Written as the record would have it: the field, our answer, and where on this site the answer is already published so your file can cite something rather than quote an email.

A record built from this table is complete enough to raise a first purchase order. The two things it will still be missing are the specification and the destination, which are yours to supply.

What happens after the record opens

Six steps from vendor record to first shipment

Onboarding a vendor is a sequence with dates in it. Each card names the step, the document that closes it, and the page where the step is already described.

01 · The brief

A style, a quantity, a market. Without all three the reply is a question, which is the honest response but costs a day of the calendar.

Closes with
A written brief.
Published figure
Reply within one working day.

Evidence: Quote.

02 · The costing

A reference range against your specification, with the trade term it sits on and the minimum restated for your style count. It is an invitation to proceed, not a binding offer.

Closes with
A range you can compare.
Binds on
Nothing yet.

Evidence: Negotiating sock pricing.

03 · The sample

Typically 3–5 days after brief and artwork. Charged per style, credited against the first bulk order. This is where the parameters get locked, not at the invoice.

Closes with
An approved sample.
Published figure
3–5 days.

Evidence: Sample policy.

04 · The proforma

The document that binds: price, term, quantity and lead time against the confirmed spec, issued by the contracting entity and naming both entities where it should.

Closes with
A signed proforma.
Binds on
Price, term, quantity, lead time.

Evidence: Document desk.

05 · The run

Bulk is typically 20–30 days after deposit received and sample approved. The queue is four production lines, so the date is a loading question rather than a promise.

Closes with
Goods packed.
Published figure
20–30 days.

Evidence: Wholesale terms.

06 · The repeat

The second order runs from the locked specification and skips the sample round. The vendor record does not change; only the quantity does.

Closes with
A repeat order.

Evidence: Reorder lead time.

Vendor facts, in one block

If a procurement system asks for four numbers before it will open a vendor record, they are these.

2 current

The two audits are BSCI 26-0419962, valid until 14 Aug 2027, and SEDEX (SMETA) ZAA600215648, audited 12–13 Aug 2026. Both name the factory entity and the same address, and both reports are on this site as PDFs you can file with the record.

Where vendor records go wrong

Three answers we will not dress up

Every one of these would be easier as a yes. Each is a no, or a not-yet, and saying so early is cheaper than saying it at the purchase order.

  • No certificate we do not hold. If your record needs OEKO-TEX, GRS or a medical-device file from the maker, say so in the first email — the answer is that the document would have to come from the yarn, and that changes the sourcing question rather than the paperwork.
  • No bank details on a page. Payment runs through the entity named on your quotation and proforma invoice. Anything else you are asked to pay, from anywhere, is worth verifying independently.
  • No volume commitment we cannot hold. The floor has four lines. What is free in a given month is confirmed with the quotation, not with the vendor record — a record that promises capacity before a date exists is a record with a fiction in it.

Send the fields you still need, not a form

If your vendor record needs something this page does not answer, name it in the first email. The reply comes back within one working day with the document, the number or the honest gap — and if it is a gap, you will know before the purchase order rather than after it.
